Connection 10-20 min

HP printer is offline, unavailable, or not responding

Symptoms: Your computer shows Offline, Unavailable, Not Responding, or the printer stays in the queue without printing.

Fix steps
  1. Wake the printer and check the display for paper, door, cartridge, or jam errors.
  2. Restart the printer, then restart the router if it is a wireless printer.
  3. Confirm the computer or phone is on the same Wi-Fi network as the printer. Avoid guest networks unless the printer is also on that network.
  4. Clear the print queue. On Windows, open Settings > Bluetooth & devices > Printers & scanners. On Mac, open System Settings > Printers & Scanners.
  5. Set the correct printer as default and remove duplicate copies such as “Copy 1” if they point to an old connection.
  6. Run HP app Diagnose & Fix. Windows users can also try HP Print and Scan Doctor.
  7. If the IP address changed, remove the printer from the device and add it again.

Stop point: If the printer cannot print its own status report or remains frozen after power cycling, use model-specific HP support or service.

Wi-Fi 10-25 min

Wi-Fi setup fails or the HP app cannot find the printer

Symptoms: HP app setup cannot discover the printer, setup times out, or the printer does not appear during Add Printer.

Fix steps
  1. Place the printer within a clear range of the router during setup.
  2. Use a 2.4 GHz network if your printer does not support 5 GHz, or temporarily separate the router bands if discovery fails.
  3. Restore Wi-Fi setup mode from the printer control panel or by using the model-specific button sequence in the manual.
  4. Open the HP app and add the printer soon after restoring setup mode.
  5. Temporarily disable VPN, private relay, firewall filtering, or mobile data switching on the setup device.
  6. Make sure Bluetooth and location permissions are allowed on phones when the app requests them.
  7. If the printer was previously connected to another network, remove old network settings before retrying.

Stop point: If setup repeatedly fails after restoring Wi-Fi setup mode, print a network report and check whether wireless radio is disabled or failing.

Network 10-20 min

Printer stopped working after router, Wi-Fi name, or password changed

Symptoms: The printer worked before a new router, internet provider change, Wi-Fi password change, or mesh network installation.

Fix steps
  1. Reconnect the printer to the new Wi-Fi network from the printer screen, WPS, or HP app setup.
  2. Remove the old printer entry from every computer and phone.
  3. Add the printer again after it shows connected on the new network.
  4. If using a mesh router, ensure client isolation, AP isolation, or “guest device isolation” is off for the printer network.
  5. Reserve the printer IP address in the router settings if the printer frequently disappears.

Tip: The printer and device must be able to see each other on the local network; internet access alone is not enough.

Printing 10-20 min

Printer says Ready but nothing prints

Symptoms: Printer display is ready, but no pages come out when printing from a computer or phone.

Fix steps
  1. Print a test page directly from the printer menu. If that works, the printer hardware is likely okay.
  2. Check that the app is sending to the correct printer and not “Print to PDF”.
  3. Try a different app, such as a plain text editor, to rule out a file problem.
  4. Reconnect the printer: use the same Wi-Fi, a known-good USB cable, or Ethernet.
  5. Remove and re-add the printer in the operating system.
  6. Install the latest HP driver or use the HP app for the model.

Tip: A printer can show Ready locally while the computer still points to an old IP address or inactive driver.

Paper 10-30 min

Paper jam or jam message

Symptoms: Jammed paper, paper stuck inside, repeated jam message, or printer asks you to clear a carriage area.

Fix steps
  1. Turn the printer off. For laser printers, allow hot internal areas to cool before touching paper near the fuser path.
  2. Open only the doors, trays, rear access panel, or cartridge area indicated by the printer or manual.
  3. Pull paper slowly with both hands in the direction of the paper path. Avoid tearing.
  4. Use a flashlight to remove small torn pieces from rollers, duplexer, trays, and the carriage path.
  5. Slide the carriage gently only if your model allows it and the printer is powered off.
  6. Reload clean, flat paper within the tray guides. Do not overfill.
  7. Restart the printer and print a test page.

Stop point: Do not force stuck paper or dismantle sealed parts. If paper tears deep inside, get model-specific service guidance.

Paper feed 10-20 min

Out of paper, paper not feeding, or multiple pages feeding

Symptoms: Printer says Out of Paper even when loaded, pulls several sheets, or paper skews.

Fix steps
  1. Remove paper, fan the stack, and discard curled, damp, glossy, or torn sheets.
  2. Load a smaller stack and adjust paper guides so they touch the paper without bending it.
  3. Confirm the paper size and type match the tray and print settings.
  4. Clean accessible pickup rollers gently with a lint-free cloth slightly dampened with distilled water. Let them dry fully.
  5. Check the rear access area or duplexer for tiny scraps.
  6. Try plain paper to determine whether the issue is specific to envelopes, labels, photo paper, or card stock.

Stop point: Worn rollers, broken tray parts, or recurring skew after cleaning may require replacement parts or service.

Print quality 10-25 min

Blank pages or missing text

Symptoms: Pages come out blank, only part of the page prints, or black/color is missing.

Fix steps
  1. Check ink or toner levels, but remember that level estimates can be approximate.
  2. Make sure protective tape, orange tabs, or vent seals were removed from new cartridges.
  3. Run the printer’s cleaning cycle or printhead cleaning tool from the control panel or HP app.
  4. Print a Print Quality Diagnostic page. Identify whether one color, black, or all output is missing.
  5. For ink printers, wait a few minutes between cleaning cycles to avoid wasting ink and overheating the printhead.
  6. Try a fresh genuine or compatible cartridge known to work with your exact model and region.
  7. Check app settings for “print in grayscale,” “draft,” or hidden text layers.

Stop point: Repeated blank output after new cartridges and cleaning can indicate a clogged or failed printhead.

Quality 10-30 min

Streaks, lines, faded print, blurry print, or banding

Symptoms: Horizontal lines, vertical streaks, fuzzy text, faded output, or uneven color blocks.

Fix steps
  1. Print a quality diagnostic page from the printer menu or app.
  2. Confirm paper type and print quality settings match the paper loaded.
  3. Run printhead cleaning for ink printers or calibration/color alignment where available.
  4. For laser printers, remove the toner cartridge gently, rock it side to side if the manual allows, and inspect for leaks or damage.
  5. Use clean, dry paper stored flat. Damp paper often causes smearing or curl.
  6. Update firmware if the issue appeared after a software or operating-system update.

Tip: A repeating mark at the same distance on every page often points to a roller, drum, fuser, or cartridge surface issue.

Color 10-25 min

Wrong colors, no color, or color mismatch

Symptoms: Photos look tinted, colors are dull, color printing is disabled, or one color is missing.

Fix steps
  1. Make sure the job is not set to black-and-white, grayscale, economy, or draft mode.
  2. Check each color cartridge or toner. Replace empty or incompatible supplies.
  3. Run color calibration, alignment, or printhead cleaning.
  4. Use the correct media profile: plain paper, photo paper, brochure paper, labels, or envelopes.
  5. Print a different photo or document to rule out file color-profile issues.
  6. For business printers, check whether color printing is restricted by administrator settings.

Tip: Screen colors rarely match print perfectly, but a missing color block on a diagnostic page is a printer or supply issue.

Smudging 10-25 min

Ink smears, toner rubs off, ghosting, or repeated marks

Symptoms: Ink stays wet, toner wipes off, shadows repeat down the page, or dots repeat at intervals.

Fix steps
  1. Verify paper type. Photo paper, labels, envelopes, and heavy stock need matching settings.
  2. For ink printers, let dense prints dry longer and avoid printing on the wrong side of coated paper.
  3. For laser printers, select a heavier paper setting if toner is not fusing to thicker media.
  4. Inspect cartridges for leaks, damaged drums, or loose toner.
  5. Run the printer cleaning page or maintenance cycle if available.
  6. Replace old supplies if repeating marks line up with cartridge or drum rotation.

Stop point: A failing fuser in a laser printer can get hot and should be serviced, not forced.

Cartridge 10-30 min

Cartridge missing, incompatible, not recognized, or cartridge problem

Symptoms: The printer reports Incompatible Cartridge, Missing Cartridge, Cartridge Problem, Ink Alert, or similar errors.

Fix steps
  1. Confirm the cartridge number is compatible with the exact printer model and country/region.
  2. Remove and reinstall the cartridge until it clicks into place.
  3. Check that protective tape and shipping clips were removed.
  4. Inspect copper contacts or chip surfaces for ink, dust, or damage. Clean gently with a lint-free cloth if the manual allows.
  5. Restart the printer with cartridges installed.
  6. Update printer firmware if the issue started after app or driver changes.
  7. Try another cartridge from a reliable source to isolate cartridge failure from printer failure.

Stop point: Do not scrape chips or force cartridges. Repeated errors with multiple good cartridges can indicate carriage or contact damage.

Supplies 10-20 min

HP Instant Ink, low ink, or subscription supply message

Symptoms: The printer says low ink, cartridge cannot be used, subscription issue, billing issue, or Instant Ink cartridge error.

Fix steps
  1. Check whether the printer is connected to the internet. Subscription cartridges usually need periodic connection.
  2. Sign in to your HP account through official HP channels and verify plan, billing, and printer enrollment status.
  3. Restart the printer and router, then wait for the printer to reconnect.
  4. Use the cartridge only in the printer/account it is assigned to.
  5. If you changed printers or cancelled a plan, review official HP Instant Ink instructions before buying replacement cartridges.

Scanning 10-25 min

Scanner not found, scan unavailable, or scan fails

Symptoms: Computer cannot find scanner, HP app says scanning unavailable, scan starts then fails, or scanner is busy.

Fix steps
  1. Confirm printing works first. If the printer is offline, fix connection before scanning.
  2. Restart printer, router, and computer or phone.
  3. Use HP app Diagnose & Fix or HP Print and Scan Doctor on Windows.
  4. Check app permissions for local network, camera/photos/files, and scanning folders.
  5. Remove and re-add the printer in the HP app or operating-system scanner settings.
  6. Install the full feature software package when scan features are missing.
  7. Try scanning from the printer control panel to a computer, email, USB, or network folder if your model supports it.

Stop point: If copy also fails from the printer glass, the issue is likely scanner hardware, not computer software.

Copy/Fax 10-25 min

Copy, fax, ADF, or scanner system failure

Symptoms: Scanner Failure, Cannot Copy, fax fails, automatic document feeder jams, or pages scan with black lines.

Fix steps
  1. Restart the printer and test a copy directly from the glass.
  2. Clean the scanner glass and the narrow ADF scan strip with a soft lint-free cloth.
  3. Remove staples, curls, sticky notes, and damaged pages before using the ADF.
  4. Fan pages and align the ADF paper guides.
  5. For fax, confirm the phone line is in the correct fax port and test with a simple black-and-white fax.
  6. Update firmware and retest copy/scan from the printer panel.

Drivers 15-30 min

Driver installation fails or features are missing

Symptoms: Setup cannot complete, driver unavailable, scanner option missing, duplex option missing, or Windows/macOS uses a generic driver.

Fix steps
  1. Download drivers only from official HP support or the official app store for your device.
  2. Remove old printer entries before installing the new driver.
  3. Disconnect USB until the installer asks for it.
  4. Restart the computer after uninstalling older packages.
  5. Install full feature software if you need scanning, maintenance, ink tools, or advanced tray settings.
  6. Check Windows Update or macOS Software Update when the operating system blocks older drivers.

Firmware update needed, failed, or stuck

Symptoms: Printer requests an update, update fails, or features stop working after system updates.

  1. Keep the printer plugged into a stable power source. Do not turn it off during an update.
  2. Use the printer control panel, HP app, embedded web server, or official HP download for your exact model.
  3. Make sure the printer has internet access if updating directly from the printer.

  3. Check device language and region settings if the app opens in the wrong language.

  2. Turn off VPN, private relay, or mobile hotspot routing temporarily.
  3. Restart the phone and printer.

  2. Match paper size in three places: document setup, print dialog, and printer tray settings.
  3. Select the correct tray and paper type.
  4. Choose Fit to Page only when you want scaling.
  5. Enable duplex in printer preferences and verify the model has an automatic duplexer if needed.
  6. For borderless photos, choose a supported photo size and compatible paper type.

Error lights 5-20 min

Blinking lights, error codes, or warning icons

Symptoms: Attention light, power light blink pattern, E-number, B-number, C-number, cartridge icon, or paper icon.

Fix steps
  1. Write down the exact code or blink pattern before restarting.
  2. Check the printer screen, HP app, or status report for a plain-language message.
  3. Resolve obvious conditions first: paper, jam, door open, cartridge, low toner, or output tray full.
  4. Restart the printer and see whether the same code returns.
  5. Search the official HP support page for your exact model and error code.
  6. Do not repeatedly force printing while the same mechanical error returns.

Tip: Error code meanings vary by model, so the exact model name matters.

Hardware 5-15 min

Door open, cover open, carriage blocked, or tray open message

Symptoms: Printer says a door, lid, access cover, tray, or output bin is open even after closing it.

Fix steps
  1. Open and close the indicated door firmly without slamming.
  2. Remove paper scraps or packaging material near the latch.
  3. Check cartridges are fully seated and not blocking the access door.
  4. Confirm the output tray extender or rear door is correctly installed.
  5. Restart the printer after closing all covers.
  6. Inspect for broken hinges, missing tabs, or damaged sensor flags.

Stop point: Broken latches or sensors need parts or service; tape is not a reliable fix.

Noise 5-20 min

Grinding, clicking, squeaking, or unusual noise

Symptoms: Loud grinding, clicking during startup, squeaking rollers, or carriage banging.

Fix steps
  1. Stop printing and turn the printer off if the noise is harsh or new.
  2. Check for jammed paper, foreign objects, packaging tape, labels, or broken plastic in the paper path.
  3. Remove and reinstall cartridges or toner cartridges correctly.
  4. Reload paper and make sure guides are not too tight.
  5. Restart and listen during initialization without sending a print job.

Safety: If noise continues, do not force printing; gears, carriage rails, rollers, or fuser assemblies may be damaged.

Power 5-15 min

Printer sleeps, disappears, or will not wake for print jobs

Symptoms: Printer works after restart but later disappears from the network or ignores jobs until touched.

Fix steps
  1. Update printer firmware.
  2. Move the printer closer to the router or use Ethernet if available.
  3. Disable deep sleep or increase sleep delay if your model offers that setting.
  4. Reserve the printer IP address in your router to prevent address changes.
  5. Check router power-saving, band steering, or device isolation settings.
  6. Remove and re-add the printer after assigning a stable IP.

Tip: Power strips that cut power overnight can interrupt maintenance cycles on some ink printers.

Security 5-20 min

Printer security, unknown users, or scam support popups

Symptoms: Unknown jobs print, printer page opens publicly, support popups demand payment, or someone asks for remote access.

Fix steps
  1. Keep the printer on a private home or office network, not an open guest network.
  2. Change the router Wi-Fi password if unknown people can access it.
  3. Disable Wi-Fi Direct when not needed, or set a strong Wi-Fi Direct password.
  4. Use the printer embedded web server only on your local network and set an admin password if supported.
  5. Do not call phone numbers from popups, fake warnings, or random search ads. Use official HP support links.
  6. Do not grant remote-control access to anyone who contacts you unexpectedly.

Important: Printer troubleshooting never requires banking passwords, gift cards, or one-time passcodes.

Windows rescue path

  1. Settings > Bluetooth & devices > Printers & scanners: remove duplicate or old printer entries.
  2. Open the print queue and cancel stuck jobs.
  3. Restart the Print Spooler if jobs will not clear.
  4. Run HP app Diagnose & Fix or HP Print and Scan Doctor.
  5. Install the latest official HP driver for your exact model if features are missing.

Mac rescue path

  1. System Settings > Printers & Scanners: check the printer status.
